The Outlook rules engine can be used to automatically assign one or multiple categories as messages are received. For example you could create a rule that assigns the category a.Becker&Son if the sender email address includes “beckerson.com”. Check the step-by-Step section in chapter 5 for instructions on how to create a rule to auto-assign a category.

If you already use categories, it’s OK to leave those category names out there, but overtime you should clean out that list and align the category names to the formats listed above. This is a good time to setup a few categories that you will use to manage next actions and prioritize work for today.

Adding new categories

It is very simple to add, rename and delete categories in Outlook. Just a couple of quick notes first. If you rename a category, that new name will be applied to every message associated to that category. If you delete an existing category from your master list, that category description will not be removed from existing messages. This is a good feature, it allows you to remove categories from your master list that you no longer need, but this will not affect messages you have already categorized and filed.
